How Campus Messaging Can Help Prevent School Emergencies

During a school emergency, it is vital that campus leaders can quickly disseminate critical information to students, staff, and visitors to mitigate potential impact. Utilizing multiple communication channels is also critical and can include text messages, voice calls, visual alerts such as strobe lights, and public address systems. Another common channel is digital signage.

Using digital signage software, important messages can be displayed both on television screens and personal devices such as cell phones and laptops. And while broadcasting important messages during an incident is critical, often left out of the discussion of campus messaging is the role it plays in preventing emergencies.

Using Campus Messaging to Improve Student Wellness

Since the COVID pandemic, abundant conversations have been had regarding its significant impact on youth mental health. When schools reopened, school leaders searched for ways to support students (2:17).

“As we talked to educators, the K-12 teachers, administrators, higher ed people, one of the things that actually layered in with emergency messaging and has informed this whole conversation is student wellness,” Eric Henry, senior vice president of business architecture at Carousel Signage, a campus messaging software company, told Campus Safety. “When people were coming back to schools, a lot of students were experiencing higher levels of anxiety and discomfort in those types of environments, but that really informed our emergency notification and messaging strategy.”

Through these conversations, Carousel quickly realized that while its ability to provide messaging capabilities during emergencies is crucial, even more crucial is providing regular messaging that supports student wellness to prevent emergencies. For example, campuses can display messages that reiterate the importance of reporting concerning behavior. They can also display messages about personal safety, such as the potential dangers of the Internet.

Digital signs can also be used to convey messages during fire or lockdown drills that help mitigate the stress or anxiety that often comes with drills, or to share messaging about where students can go if they need someone to talk to following an emergency.

“We just want to be part of the solution,” says Henry. “We don’t want to sell on fear.”

Simplifying Emergency Messaging for Schools

One of Carousel’s main goals, says Henry, is to make communication simpler and more effective for schools since they already have a growing list of responsibilities. This is accomplished, in part, through Carousel’s template and content strategy offerings (7:33).

“Certainly, there’s this technical component to the functionality of our software, but much more than that, the wraparound is what are all the templates and things that are already created for schools to just plug and play? What are some of the content pieces we can provide that just help schools say, ‘Okay, this is the campaign I want to run. Oh, here’s some pre-made content. Here’s some Canva templates,'” said Henry. “This is the third of fourth job of many people other than maybe the emergency response team within a school district.”

The company also continuously offers thought leadership content for campus messaging.

“[We provide] white papers and different things that say, ‘Hey, this is how you would prepare for a drill’ or ‘Here’s what would happen in a particular maintenance-type issue,'” Henry said. “A lot of these things, we think about the worst case with emergency notifications and messaging, but a lot of it is just in the life of the school. And so, ‘Hey, the bathrooms in this particular part of the building are not functional right now, reroute’ or ‘Hey, no recess today due to air quality.’ What can we do to help inform students or provide content for them even as they’re indoor for recess?”
